About this policy
This policy applies to the LeadVynx website, dashboard, embedded assistant and related services. LeadVynx, we, us and our refer to the operator of the service.
A customer is an organisation using LeadVynx. An account user is an authorised person accessing a customer account. A visitor is someone interacting with LeadVynx on a customer website.
Our role when processing information
LeadVynx generally determines how account, support and LeadVynx website information is processed. We generally process customer website visitor information on behalf of the relevant customer.
Customers decide what their assistant requests, why the information is collected and how it is used. Customers are responsible for notices and permissions required on their websites. A visitor may need to contact the business whose website they used for a request involving customer-controlled data.

Artificial intelligence processing
LeadVynx may use artificial intelligence to interpret questions, retrieve relevant information from customer approved content, identify buying intent, summarise conversations, help qualify leads and suggest next actions.
AI responses can be incomplete, inaccurate or inappropriate. Customers must review important outputs. LeadVynx is not legal, medical, financial or other professional advice. Customers should not submit unnecessary sensitive information.
Information may be processed by approved AI infrastructure providers when needed to provide a feature. Customer and visitor information is not used to train public AI models without explicit authorisation.
International data transfers
Service providers may process information in countries other than the user's country. Where required, LeadVynx will use appropriate contractual, organisational or legal safeguards.
Infrastructure and provider locations may change as the service evolves. LeadVynx does not promise India-only storage.
Data retention
Retention depends on the duration of an account, customer instructions, product configuration, security requirements, backup processes, legal or accounting obligations, open disputes and the time needed to delete or anonymise information.
Some information may remain in backups for a limited period before normal deletion cycles complete. LeadVynx does not publish a fixed backup deletion period.
Security
LeadVynx uses verified controls that include account authentication, account-separated database access, server-side handling of private credentials, restricted service access and validation or abuse controls around public assistant requests.
No online system can guarantee absolute security. The Security page explains the controls that are currently verifiable.
Individual rights and choices
Depending on applicable law, a person may have rights to access, correct, delete, restrict or port information, withdraw consent, object to processing, submit a grievance or complain to a relevant regulator.
Rights may be subject to legal exceptions. We may need to verify identity and may direct a request to the relevant customer when that customer controls the information. Promotional email can be unsubscribed through the message link where available.
Children's information
LeadVynx is intended primarily for business use and is not directed to children. Users should not knowingly submit a child's personal information without appropriate authority and safeguards. Contact us if you believe such information was submitted improperly.
